What decides the cost of custom ERP software in India

By Milan Tailor, founder of CodBizz · Updated 21 October 2026 · 6 min read

Short answer

The cost of a custom ERP depends mainly on how many workflows it covers, how many kinds of users it has, how much old data must be moved in, which outside systems it must connect to, and how the vendor prices the work: fixed bid, time and materials, or a monthly retainer. Any number quoted before the vendor understands those five things is a guess.

Five things that move the price

  • Number of workflows. Stock alone is small. Stock plus production, quotations, purchase, accounts and payroll is a different project.
  • Kinds of users and permissions. An owner, a salesperson, a yard supervisor and an accountant each need different screens and rights.
  • Data migration. Opening stock, customers, suppliers and old balances have to be cleaned and loaded, and messy data takes longer.
  • Integrations. Connecting to GST and e-way bill data, banks, payment gateways, WhatsApp or other software adds work.
  • Reports and dashboards. Standard reports are quick. Reports that mirror how you run the business take design time.

Three ways vendors price custom ERP

We work on a flat monthly retainer with no long-term contract: a 30-day no-penalty review period at the start, then 30 days’ notice. A retainer suits a business that expects its system to keep changing, which most ERPs do.

ModelHow it worksWorks well whenWatch out for
Fixed price per projectOne fee for an agreed scope. The scope is small and will not change.Every change becomes a new quote, and the vendor may protect itself with a narrow scope.
Time and materialsYou pay for the hours worked. The scope is unclear and will evolve. No ceiling unless you set a cap and review progress often.
Monthly retainerA flat monthly fee for a team that keeps building and maintaining. The system will keep growing after the first release. You pay in quiet months too, so check the exit terms.

Costs people forget to ask about

  • Hosting, backups and monitoring after go-live.
  • Training for the people who enter the data every day.
  • Support after launch: who answers, how fast, and is it included.
  • Changes in GST rules or invoice formats.
  • Third-party licences, for example SMS, WhatsApp or payment gateway fees.
  • The cost of running the old and new systems side by side during rollout.

How to compare two quotes properly

  • Put both vendors on the same written scope, module by module.
  • Check what is included after go-live: bug fixes, support, small changes, hosting.
  • Ask who owns the code and the data, and where they are stored.
  • Ask what happens if you leave: do you get the full code, a data export and documentation?
  • Tie payments to working software you can test, not to dates on a plan.

How to keep the cost under control

  • Build the module that hurts most first and add the rest after it works.
  • Use real data in demos, and approve each release before the next starts.
  • Keep the code in your own repository so you are never locked in.
  • Review progress every week, not at the end.

Frequently asked questions

What does a custom ERP cost in India?

There is no honest single figure, because it depends on the five factors above. We work on a flat monthly retainer: Starter Partner from $1,200/month, Growth Partner from $2,000/month and Full Tech Team from $3,500/month. We recommend a plan after a free discovery call, once we understand your scope.

Is custom ERP more expensive than ready-made ERP?

Upfront, usually yes. Over several years it depends on licence fees per user, paid customisation and the staff time lost to workarounds. Compare the three-year cost, not the first-year price.

Are there recurring costs after the system is built?

Yes: hosting and backups, support, and changes as your business grows. With a retainer these are covered by the monthly fee. With a fixed-price project, ask for them in writing.

Do we own the code?

With us, yes. All code lives in your repositories and your cloud accounts, so you can leave at any time with everything intact.
